For what purpose do we process your data?

Your data will be processed to provide the service you requested, to follow up, maintain and develop the contractual relationship, to comply with legal obligations applicable to our company, and to send you, by email, phone and post, information we believe may be of interest to you and directly related to the services and products you currently have contracted with us. What is the legal basis for processing your data?

The legal basis for processing your data is:

  • Performance of a contract to which you are a party
  • Compliance with legal obligations applicable to our company
  • Legitimate interest of the Data Controller

How long will we keep your data?

Your data will be processed for as long as the contractual relationship with you remains in force. Once it has ended, we will keep your data duly blocked, making it available only at the request of the competent authorities, courts and tribunals, or public administration, for the applicable legal limitation periods.

Likewise, in compliance with the obligations arising from Spanish Law 25/2007, of 18 October, on the retention of data relating to electronic communications and public communications networks, Neotel 2000, S.L. will retain traffic and location data for a period of 12 months, in order to comply with its duty to provide information should it receive a request from the Judicial Authority.

Who will your data be shared with?

A) Public authorities, in the cases provided for by law. Neotel 2000, S.L. may share the User’s personal data with various authorities under a legal obligation, such as judicial, tax and customs authorities, Authorised Agents, and 112 emergency call service providers.

B) Suppliers through which Neotel 2000, S.L. carries out activities inherent to providing its service, such as billing and collection for its own and third-party services — for example, other telecommunications operators, premium-rate service providers, and any other suppliers that, where applicable, act on behalf of and for Neotel 2000, S.L. for this purpose.

C) Credit reference files. The User is informed that, in accordance with current regulations, in the event of non-payment for services provided, data relating to the resulting debt may be shared with duly legally authorised third-party companies responsible for managing the non-fulfilment of financial obligations.

International Data Transfers

No transfers of data to third countries are planned.

Processing of Data on Social Media

NEOTEL 2000, S.L. is present on various social media platforms. Through this Privacy Policy, we inform users who may follow us on these social media platforms that NEOTEL 2000, S.L. acts as Data Controller in relation to the data it publishes on these platforms, as well as any data users send us privately so that we can extract it to address their queries, questions or suggestions submitted through this channel. In these cases, we will apply the same legal basis, recipients and legal retention periods as for the contact data of prospective customers.

Under no circumstances will NEOTEL 2000, S.L. extract personal data from social media without the user’s express consent, except to respond to a query made by the data subject through that particular social network.

Legal basis:

The processing of users’ data on social media is carried out for the performance of pre-contractual measures at the data subject’s request.

Retention:

Social media users’ data will be kept on the social network in question for as long as the data subject does not voluntarily delete it. NEOTEL 2000, S.L. is not responsible for data stored there, as it will only be extracted to address queries made through that social network.

We detail below the rights available to you regarding data protection:

Any individual has the right to obtain confirmation as to whether NEOTEL 2000, S.L. is processing personal data concerning them. You have the right to access your personal data, as well as to request rectification of inaccurate data or, where applicable, request its erasure when, among other reasons, the data is no longer necessary for the purposes for which it was collected.

In certain circumstances, you may request that we restrict the processing of your data, in which case we will only keep it for the exercise or defence of claims. Likewise, in the cases established by law, you will have the right to the portability of your personal data.

In certain circumstances, and for reasons related to your particular situation, you may object to the processing of your data. In this case, NEOTEL 2000, S.L. will stop processing your data, unless there are compelling legitimate grounds, or it is necessary for the formulation, exercise or defence of possible claims.

You have the right to withdraw your consent at any time, without this affecting the lawfulness of processing based on consent prior to its withdrawal.

Data obtained through Google services (Gmail, Google Calendar and Google Contacts)

When you voluntarily connect your Google account to pbx.neotel2000.com, NEOTEL 2000, S.L. accesses, only with your express authorization through the Google authentication and authorization process (OAuth 2.0), and for the time that said connection remains active, the data described below, limited to the permissions necessary to provide the functionalities requested by the user.

1. Email address details

The application uses integration with Google email services solely to allow the user to send emails through the Google account they have linked to the application. The application does not access the user’s inbox contents or received messages, nor is it used to create advertising profiles, conduct marketing activities based on this data, or for any purpose other than the functionality expressly requested by the user.

2. Google Calendar Data

The integration with Google Calendar is used to provide calendar management and query functionalities from within our application, related to the synchronization of appointments and calls from the PBX. Specifically, the application can access the necessary Google Calendar data to check availability and existing events, and to create or update specific events associated with call and appointment management. The data obtained from Google Calendar is used exclusively to provide these functionalities and is not used for advertising purposes or for any purpose unrelated to the operation of the integration.

3. Google Contacts Data

The application allows users to synchronize contacts associated with a Google account they have voluntarily linked, solely so that these contacts are available in our application’s address book. During this process, the application may access data such as first and last name, email addresses, phone numbers, organization or company, and other contact information authorized by the user and necessary for synchronization.

4. Purpose, storage and transfer of data

The data obtained through Google APIs is used exclusively for the functionalities requested by the user (sending emails from the linked account, viewing and managing calendar events, and synchronizing contacts), and is retained as long as necessary for these functionalities or as long as the user maintains the integration active, without prejudice to legally required retention periods. This data is not sold or shared with third parties except when legally required or with the user’s express authorization, nor is it used for personalized advertising, advertising profiling, or purposes incompatible with the authorization granted.

5. Revocation

The user can revoke the authorization granted at any time from the security settings of their Google account (myaccount.google.com/permissions) or by requesting it through dpd@neotel2000.com.

Revocation prevents further operations using the revoked permissions, but does not imply the automatic deletion of data already synchronized; the user can request its deletion through the contact mechanisms in this Privacy Policy.

6. Legal basis

The legal basis for this processing is the explicit consent given by the user when authorizing the connection of their Google account through OAuth, as well as, where applicable, the execution of the contract for the provision of the virtual switchboard (PBX) service signed with Neotel 2000, S.L.

Security and protection of data obtained from Google

1. Encryption in transit and at rest

The communication between our application and Google services is conducted via encrypted connections using HTTPS/TLS. Data that needs to be stored to provide the requested functionalities is kept on systems protected by encryption at rest.

2. Credential and token management

The authorization tokens and credentials obtained by linking a Google account are treated as confidential information and are used exclusively for user-authorized transactions. When authorization is revoked or the credentials are no longer needed, they are invalidated or deleted in accordance with applicable technical procedures.

3. Limited use and restrictions on artificial intelligence

The processing of data obtained from Google is limited to the purposes described in this Policy. Specifically: this data is not sold or traded with third parties; it is not used for personalized advertising or advertising profiling; it is not used, under any circumstances, to create, train, or improve general-purpose artificial intelligence or machine learning models, beyond the strict personalization of the service for the account that granted consent; and it is not used for purposes other than those for which the user granted authorization. Neotel 2000, S.L.’s artificial intelligence systems (including our AI voice agents) do not access or use data obtained through Google APIs.

4. Minimization

We only request the permissions from Google that are strictly necessary for each functionality enabled by the user, and we do not use this data for purposes other than those communicated.

5. Compliance with Google policies

The use and transfer of information received from Google APIs is in accordance with the Google API Services User Data Policy, including the “Limited Use” requirements where applicable.
